QR Warranty & Product Registration System

Warranty claims arrive on paper invoices nobody can verify, dealers register products weeks late, and the brand never learns who bought the unit. We build a warranty management system India brands run from a single QR scan on the product or pack - registration, validity, claims and dealer incentives in one flow.

Scan to Register

The buyer scans a unique QR on the product or carton and registers in under a minute.

Fake Claims Blocked

Duplicate, expired and out-of-territory claims are rejected at entry rather than found during audit.

First-Party Buyer Data

Every registration adds a verified consumer record your marketing head can use without third-party lists.

Our QR Warranty & Product Registration System

Four modules delivered together: unique coding on product and pack, the consumer registration journey, warranty validity and claim adjudication, and the dealer, installer and service centre workflows.

1. Unique Code Generation & Product Marking

A warranty programme is only as strong as the code behind it. We generate secure, non-sequential codes, apply them as QR on the product, carton or warranty card, and link each to its model, batch and despatch record.

Key Capabilities:

  • Secure non-sequential code generation with guaranteed duplication protection
  • QR printing on product label, carton, warranty card or nameplate
  • Code linked to model, serial, batch and manufacturing date
  • Print verification and reject handling on the packing line

2. Consumer Registration & Data Capture

The registration journey has to work for a buyer standing in a dealer showroom on a weak mobile network. We build a scan-to-register flow with OTP verification, invoice upload and progressive profiling.

Key Capabilities:

  • Mobile web registration with no app download required
  • OTP verification of the buyer mobile number at registration
  • Invoice image upload with dealer and purchase date extraction
  • WhatsApp confirmation carrying a downloadable e-warranty certificate copy

3. Warranty Validity & Claim Adjudication

Validity is rarely a simple date. We build the rules your products carry - purchase date, installation date, usage hours or kilometres, extended plans and pro-rata components - and adjudicate every claim automatically.

Key Capabilities:

  • Validity calculated from purchase, installation or commissioning date
  • Extended and pro-rata terms configured per product family
  • Duplicate and out-of-warranty claims blocked at claim submission
  • Claim status visible to consumer, dealer and service centre

4. Dealer, Installer & Service Centre Workflows

The people who register products are the ones you have to incentivise. We link scans to dealer and installer identities, run the incentive calculation, and give service centres a reimbursement console.

Key Capabilities:

  • Dealer and installer scan attribution with territory mapping
  • Incentive points, slabs and payout reconciliation per verified scan
  • Service centre claim console with spare-part consumption capture
  • Reimbursement approval workflow with claim ageing and escalation

Technologies That Power Our Solutions

Technology chosen for products sitting in humid godowns, dealers using mid-range phones and consumers who abandon a registration form after thirty seconds.

Secure QR & Unique Code Systems

Non-sequential codes with checksum and an optional scratch-off PIN, generated in a controlled vault so a valid code cannot be guessed by a counterfeiter.

Applications:

Product marking Carton coding Warranty cards Authentication

Line Printing & Vision Verification

Thermal transfer, inkjet and laser marking integrated on your packing lines, with camera verification that every printed code is readable before the pack moves.

Applications:

Label printing Direct part marking Print verification Reject handling

Mobile Web & WhatsApp Journeys

Registration, claim raising and status checking run on mobile web and the WhatsApp Business API, so neither consumer nor dealer has to install anything.

Applications:

Scan-to-register Claim submission Status updates Service booking

Analytics & Integration Layer

Registration, claim and failure data flows into your CRM, ERP and service systems, and back out as reliability reporting by model, batch and month.

Applications:

CRM sync ERP claim posting Failure analysis Dealer performance

Industry Success Stories

Representative outcomes from consumer durables and after-sales deployments. Ranges are indicative and must be confirmed against your own baseline before publication.

Home Appliances & Consumer Durables

Brands selling through multi-brand outlets where the retailer, not the brand, has held the buyer relationship.

Results Achieved:

  • ✓ Registration lifted from a low base to a substantial share
  • ✓ 30-45% reduction in invalid and duplicate warranty claims
  • ✓ First-party consumer records built without third-party data purchase

Auto Components & Aftermarket Parts

Parts brands whose warranty exposure sits with mechanics and installers rather than end consumers.

Results Achieved:

  • ✓ Installer scans attributed and incentives paid on verified fitment
  • ✓ Counterfeit part claims identified at submission, not after settlement
  • ✓ Claim settlement cycle shortened from weeks to days

Electronics & Small Appliances

High-volume products where claim handling cost per unit decides whether after-sales service breaks even.

Results Achieved:

  • ✓ Warranty claim processing effort per claim materially reduced
  • ✓ 20-35% fewer service visits raised on out-of-warranty units
  • ✓ Batch-level failure patterns identified within weeks of despatch

Key Performance Indicators

The measures an after-sales service head and a marketing head both watch. Targets are design goals we engineer towards and agree before deployment.

Registration Rate

Share of units sold that are registered by consumer, dealer or installer through the QR.

Target: 40-60% of units sold

How we get there: Driven by a sub-minute mobile journey, dealer incentives and WhatsApp reminders after despatch.

Invalid Claim Rejection

Share of duplicate, expired or ineligible claims stopped at submission rather than after settlement.

Target: >95% of invalid claims

How we get there: Each claim is adjudicated against the code, despatch record and validity rule.

Claim Turnaround Time

Elapsed time from a consumer raising a claim to an approved service action being assigned.

Target: Under 24 hours

How we get there: Automatic adjudication removes the manual verification step that consumes most of the cycle.

Code Print Read Rate

Share of printed QR codes verified as readable at full line speed before despatch.

Target: >99.5%

How we get there: Achieved through substrate testing, careful print head selection and in-line camera verification.

How We Deliver

Delivery starts with one product family and one region before reaching the whole dealer network.

01

Requirement Study & Warranty Rule Mapping

We document your product families, warranty terms, dealer and service network structure, current claim process and the systems holding model, despatch and service data.

02

Solution Design & Code Scheme Definition

Code format, marking location, print method, registration journey, validity rules and integration points are documented and signed off before printing hardware is procured.

03

Pilot on One Product Family

One product family in one region goes live against agreed acceptance criteria on print read rate, registration rate and claim adjudication accuracy.

04

Rollout, Dealer Onboarding & Support

Remaining product families and plants are commissioned, dealers, installers and service centres onboarded and trained, and the system moves into an agreed AMC.

Why Choose Our QR Warranty & Product Registration System?

Why Indian consumer durables and auto brands build a warranty system rather than licensing a generic registration portal.

Your Warranty Rules, Exactly

Kilometre limits, installation-date starts, pro-rata components and extended plans differ by product family. They are configured as rules rather than approximated by a portal template.

Coding and Printing Included

We supply and integrate the printers, applicators and verification cameras on your packing lines, and own read-rate performance rather than handing you a code file.

Channel Incentives in One Flow

Dealer and installer attribution, incentive slabs and payout reconciliation sit inside the same system as the warranty record, so the two never disagree at audit.

The Consumer Data Is Yours

Registration builds a first-party database in your own infrastructure, with consent captured at source and no third party monetising your buyers' contact details.

Make Every Product Register Itself

Book a requirement discussion with our engineering team. We will map your product families, warranty terms and dealer network, then return with a code scheme, a printing and verification outline and a scoped pilot with acceptance criteria.

Frequently Asked Questions (FAQs)

1. What is a warranty management system?

A warranty management system is the software and coding infrastructure a brand uses to register products, calculate warranty validity, adjudicate claims and settle service reimbursement. In a warranty management system India brands typically deploy, each unit carries a unique QR code applied at the plant, the buyer or dealer scans it to register, the system calculates cover from the purchase or installation date, and every later claim is checked against that record before a service centre is authorised to act.

2. Is this a licensed portal or a custom-built system?

It is custom-built. We are a solution development and systems integration company. The requirement study captures your product families, warranty terms, dealer structure and service network, and the system is engineered to that specification.

3. Do you supply the printing and verification hardware?

Yes. Thermal transfer and inkjet printers, print-and-apply units, laser markers and verification cameras are scoped, supplied, installed and integrated on your packing lines, and we own code read rate at production speed.

4. Can it integrate with our ERP and service management systems?

Yes. We integrate with SAP, Oracle, Microsoft Dynamics, Navision and Tally for model, despatch and spare-part data, and with Salesforce, Zoho or in-house service platforms. Missing interfaces are built in scope.

5. Can it be deployed on-premise instead of on cloud?

Yes. On-premise, private cloud and hybrid deployments are supported. The code vault is often kept inside client infrastructure, because code security is what prevents mass-generated fake registrations and fraudulent claims.

6. How long does implementation take?

A pilot on one product family is usually live within eight to twelve weeks of requirement sign-off, covering line printing integration, the registration journey and claim adjudication. Rollout then follows in phases.

7. What support is provided after go-live?

The system moves into an annual maintenance contract covering response times by severity, preventive maintenance of printing and vision hardware, warranty rule changes and enhancement requests. SLA and escalation are documented.

8. How do dealers and installers benefit from scanning?

Each scan is attributed to the dealer or installer identity, and incentive points, slabs and payouts are calculated from verified registrations. That gives the channel a reason to register products you would otherwise never see.

9. How does it stop duplicate or fraudulent warranty claims?

Codes are non-sequential and generated in a controlled vault, so they cannot be guessed. A code registers once, validity is computed from the despatch and purchase record, and claims outside cover are rejected at submission.

10. Does this help with consumer data and marketing?

Yes. Registration captures a verified mobile number, product model, purchase date and dealer, with consent recorded at capture. Your marketing head gets a first-party database segmented by product and geography.
