Returns & Reverse Logistics Tracking Solution

A return leaves the buyer's doorstep, disappears for a week and arrives unlabelled at the warehouse while the customer chases a refund. We build a reverse logistics solution India retailers and e-commerce brands run end to end - authorisation, pickup, transit, quality check, grading and disposition, with every unit scanned.

Scan-Level Return Visibility

Each unit tracked from pickup scan to grading bin with a unique reverse AWB and item barcode.

Grading Drives Disposition

The condition grade decides automatically whether a unit is restocked, refurbished, liquidated or scrapped at the dock.

Refunds With Evidence

Refund triggers fire only on a verified inbound scan and grade, with photo evidence on disputed units.

Our Returns & Reverse Logistics Tracking Solution

Four connected modules covering the whole reverse chain: authorisation and pickup, in-transit custody tracking, warehouse quality check and grading, and the refund, RTO and fraud controls around them.

Return Authorisation & Pickup Scheduling
A return approved without policy checks becomes a warehouse problem three days later. We build authorisation rules on window, category, buyer history and payment mode, then book pickup with the best-serving courier on that pincode.

Key Capabilities:

Return window and category eligibility enforced at request stage
Reverse pickup booked through Delhivery, Ecom Express or Bluedart APIs
Pickup slot confirmation and reattempt handled over WhatsApp
Doorstep quality check captured on the pickup rider's app
In-Transit Return Tracking & Custody
Reverse consignments use the same hubs as forward shipments but with far weaker scanning discipline. We instrument custody handover at every point, so a unit lost between rider bag and return hub surfaces in hours.

Key Capabilities:

Reverse AWB linked to original order, invoice and barcode
Custody handover scans at rider, hub, lorry and dock
Ageing alerts on returns stuck beyond expected transit time
Courier-wise reverse transit time and in-transit shrinkage reporting
Quality Check, Grading & Disposition Routing
The grading bench is where money is won or lost. The operator scans the unit, follows a category checklist and records a grade with photographs, and the system routes it to restock, refurbishment, liquidation or scrap.

Key Capabilities:

Guided check lists configured per category and per SKU
Condition grades A to D with mandatory photo capture
Automatic bin and location assignment by disposition outcome
Refurbishment work orders with parts and labour tracking
Refund Automation, RTO & Fraud Control
Refunds released before inspection invite abuse; refunds released too late invite complaints. We tie the trigger to a specific grade at a specific stage, and flag the serial swaps, empty parcels and repeat-return patterns.

Key Capabilities:

Refund triggered at a configurable stage: pickup, inbound or grade
Serial, IMEI and weight verified against the despatch record
RTO consignments reconciled and restocked through the same flow
Repeat-returner scoring with blocklist and prepaid-only order enforcement

Technologies That Power Our Solutions

Technologies picked for a returns dock: poor lighting, mixed packaging, high throughput and operators who cannot be asked to type anything.

Barcode & 2D Scanning at Every Node
Rugged handhelds and fixed scanners capture the reverse AWB and item barcode at pickup, hub, dock and bench, so custody is evidenced.

Applications:

Pickup scan Hub handover Inbound receipt Bench capture
Imaging & Photo Evidence Capture
Fixed cameras and tablet capture attach timestamped images to every graded unit, which settles most buyer and courier disputes without argument.

Applications:

Condition evidence Serial-swap proof Damage claims Dispute resolution
RFID & Weight Verification
Where source-tagged apparel or high-value electronics justify it, RFID reads and weight checks confirm the unit received is the unit despatched.

Applications:

Item authentication Empty-parcel detection Bulk counting Serial verification
Rules Engine & System Integration
Disposition, refund and fraud rules are configured against your policy and pushed to WMS, OMS and payment gateway without new code.

Applications:

WMS updates OMS status sync Refund triggers Finance reconciliation

Representative outcomes from Indian returns deployments. Ranges are indicative and must be confirmed against your own baseline before publication.

Fashion & Apparel E-commerce
High return-rate categories where size and fit send a third of dispatched orders back.

Results Achieved:

Return-to-restock cycle reduced from weeks to days
30-45% more units recovered as A-grade sellable stock
Refund disputes reduced through photo evidence at grading
Consumer Electronics & Appliances
Serial-tracked goods where refurbishment value and serial-swap fraud matter more than raw transit speed.

Results Achieved:

Serial swaps detected at inbound rather than after refund
25-40% improvement in refurbishment throughput per technician
Warranty status resolved automatically on every inbound unit
Omnichannel Retail & Marketplace Sellers
Sellers absorbing returns from several marketplaces plus their own website into one warehouse team.

Results Achieved:

Marketplace and own-channel returns handled on one flow
RTO reconciliation cycle shortened by more than half
Repeat-return fraud identified across channels, not per channel

Key Performance Indicators

The measures a reverse logistics head and a warehouse operations manager are held to. Targets are design goals agreed in writing before the pilot.

Return-to-Restock Cycle Time

Elapsed days from reverse pickup to a graded unit being available for sale again.

Target: Under 5 days

How we get there: Grading decisions are pushed to the dock instead of a separate downstream inspection queue.

Sellable Recovery Rate

Share of returned units graded A and returned to sellable inventory rather than liquidated.

Target: 60-75% by category

How we get there: Improved by doorstep checks, better reverse packaging rules and faster inbound handling.

Reverse Shrinkage

Units picked up from the buyer but never received or scanned at the warehouse.

Target: Below 0.5%

How we get there: Custody scans at every handover make the losing node identifiable and chargeable.

Refund Turnaround Time

Time from the agreed refund trigger event to the payment instruction leaving your system.

Target: Under 24 hours

How we get there: Refund releases on grade confirmation instead of waiting for a finance batch run.

How We Deliver

Delivery follows the same sequence every time, starting at one warehouse and one category.

01

Requirement Study & Returns Flow Mapping

We walk your returns dock, map authorisation rules, grading practice, courier mix and refund approvals, and quantify where units and days are lost.

02

Solution Design & Grading Matrix

Condition grades, category checklists, disposition routing, refund triggers and fraud rules are documented against your policy and signed off before build starts.

03

Pilot on One Warehouse and Category

We run the full flow for a single category at one return centre, measuring recovery rate and cycle time against the study baseline.

04

Rollout, Training & Support

Remaining categories, warehouses and couriers are onboarded, operators and supervisors trained on the bench workflow, and the system moves into an agreed AMC.

Why Choose Our Returns & Reverse Logistics Tracking Solution?

Why returns teams build a purpose-designed reverse flow rather than bending a forward logistics tool backwards.

Reverse Is Not Forward Reversed

Forward systems assume a known SKU in known packaging. Returns arrive mixed, unlabelled and in unknown condition, so grading and evidence capture come first.

Grading Rules You Control

Category checklists, grade definitions and disposition thresholds change every season. Yours are configurable by your quality team, not raised as a vendor change request.

Fraud Controls Built In

Serial verification, weight checks and repeat-returner scoring sit in the core flow, not in an analytics report produced after the refund has left.

One Team, Dock to Ledger

Scanners, grading benches, software, WMS integration and refund triggers are delivered by one engineering team, so nobody argues about whose layer failed.

Turn Returns Into Recovered Inventory

Book a requirement discussion with our engineering team. We will walk your returns dock, review grading practice and refund policy, then propose a pilot on one category with recovery and cycle-time targets agreed in writing.

FAQ – Frequently Asked Questions

1. What is a reverse logistics solution?

A reverse logistics solution is the system that manages goods moving backwards through the supply chain - customer returns, RTO consignments and recalled stock. It covers return authorisation, reverse pickup booking, in-transit custody tracking, condition grading at the warehouse, disposition routing to restock, refurbishment or scrap, and the refund trigger that closes the loop. Because courier behaviour and pincode serviceability differ here, a reverse logistics solution India brands deploy must also absorb high RTO volumes on cash-on-delivery orders.

2. Is this a returns product we license, or is it custom-built?

It is custom-built. We are a solution development and systems integration company, not a SaaS vendor. Every engagement begins with a requirement study of your returns dock, grading practice and refund policy, and hardware and support sit inside the scope.

3. Do you supply the scanners and grading station hardware?

Yes. Handheld and fixed barcode scanners, weighing scales, imaging setups for the grading bench, label printers and where required RFID readers are supplied, installed and integrated, and we own read rate at the dock.

4. Can it integrate with our WMS, ERP and payment gateway?

Yes. We integrate with SAP, Oracle, Unicommerce, Increff, Vinculum, Tally and in-house WMS platforms, and with Razorpay, PayU or your acquiring bank for refunds. Missing interfaces are built in project scope.

5. Can the system run on-premise at our warehouse?

Yes. On-premise, private cloud and hybrid deployments are supported, and the grading bench application keeps working during a network outage, queuing scans locally and syncing once connectivity returns. That matters at return centres with unreliable links.

6. How long does implementation take?

A pilot covering one return category at one warehouse is typically live within eight to twelve weeks of requirement sign-off. Further categories and sites follow in phases, subject to courier API approvals and hardware lead times.

7. What happens after go-live?

The system moves into an annual maintenance contract covering response times by severity, preventive maintenance of scanners and imaging hardware, changes to grading or refund rules, and enhancement requests. SLA and escalation are documented.

8. Does the system handle RTO consignments as well as returns?

Yes. Return-to-origin consignments are received through the same inbound flow, matched against the original order and e-way bill, graded where the pack has been opened, and restocked or refunded. Courier-wise RTO rates are reported.

9. How do you detect serial swaps and empty-parcel fraud?

The despatch record holds the item serial, IMEI or RFID identity and the packed weight. At inbound the unit is scanned and weighed again, and any mismatch is held for supervisor review before refund.

10. Who defines the condition grades?

You do. Grades, category checklists and the disposition thresholds attached to them are captured during the requirement study, configured in the system and then editable by your own quality team without a development cycle.
